What is being deployed and why?

We are deploying a new functionality to the Student Communication Tool (SCT) that allows staff members to send emails on behalf of a UBC email group. This will increase flexibility in addressing issues effectively and improving communication with students. For Official Document Management Tool (ODMT) an enhancement that allow multiple students number search for Staff Members in the Document Log.

Who is impacted?
Primary Users:
Enrolment Services Records staff processing transcript requests, parchments, and courier shipments
Graduate Studies staff managing document orders and FedEx shipping
Communications staff using SCT to send emails with attachments to students
Secondary Impact:
ODMT users (students and staff) will experience temporary inability to access ODMT during the 60-minute maintenance window
Students with financial holds will now be correctly identified in the system
Students receiving official transcripts will receive properly formatted documents
System Impact & Availability
During Maintenance (120 minutes):
ODMT will display a maintenance page to all users
Students cannot access ODMT to place new orders or check order status
Staff cannot process orders or update tracking information
SCT will remain available
After Maintenance:
All systems will return to normal operation
New features will be immediately available to staff

What is the new way of doing things?

For Student Communication Tool (SCT):

Before:


Emails are sent from a system "No-reply" address.

Low student engagement and virtually no replies.

No easy way for students to respond with questions.




After:


Users can manually set the Sender and Reply-To email addresses.

Emails can be sent from a departmental group email.

Students can reply easily, engagement improves, and responses go to a monitored shared inbox while staff identities remain hidden.

Before:



Ability to search only student on Document Log per time.

After:



Allow multiple search increasing productivity.
